    This position will oversee a wide range of office, administration and reception support with the ability to work independently with little supervision. The Office Administrator must interact with executives and staff, at all levels, while remaining flexible, proactive, and resourceful while exhibiting a high level of professionalism.

    • Represent the corporation in a professional manner in person, phone conversations, and written correspondence
    • Manage calendars and schedules for the recruiting team and conference rooms, with open levels of communication to ensure consistent and immediate contact, if needed
    • Maintain consistent and continual presence at the front reception area to oversee external visitors – presence at the reception area is fundamental to this position
    • Maintain strict confidentiality and discretion - this position is privy to sensitive information and maintaining confidentiality of all company-related information is an ongoing requirement
    • Assist human resources and recruiting team with interview scheduling, conference room set-up and candidate coordination
    • Courteously greet visitors, determine needs and direct to the appropriate person/or office
    • Route calls as necessary; this role does not operate or answer a live switchboard phone system
    • Provide general administrative support for HR and/or management personnel
    • Schedule corporate meetings, lunches, and wellness events, as needed
    • Manage relationships with company vendors including office supplies, break-room supplies, office equipment, furniture, cleaning and maintenance
    • Coordinate and post monthly announcements and events on the company intranet
    • Update and maintain information on company directory and intranet
    • Assist with corporate event planning such as holiday parties, hosted luncheons, etc.
    • Other duties as assigned


    • Must possess 2-3 years’ experience in an executive-level support role - bachelor’s degree preferred
    • Excellent interpersonal skills and professional demeanor
    • Strong verbal and written communication and excellent editing and proofreading skills
    • Attention to accuracy and detail in all aspects of responsibilities
    • Proficient computer skills, particularly with Microsoft Office, Word, Excel, and PowerPoint
    • Minimum typing speed of 50 wpm, and experience scanning and filing documents
    • Knowledge of booking travel, financial budgeting, and organizational protocols
    • The ability to follow directions, sometimes from multiple sources, and determine priorities
    • Flexibility and a willingness to perform other reasonable duties as requested
    • Ability to maintain an 8-5 schedule and work extended hours, if needed
