Responsibilities

 

This position will oversee a wide range of office, administration and recpetion support with the ability to work independently with little supervision. The Office Administrator must interact with executives and staff, at all levels, while remaining flexible, proactive, and resourceful while exhibiting a high level of professionalism.

 

  • Represent the company in a professional manner in person, phone conversations, and written correspondence
  • Manage calendars and schedules for the Chicago office, with open levels of communication to ensure consistent and immediate contact, if needed
  • Be present at the front reception area to oversee external visitors
  • Maintain strict confidentiality and discretion. This position is privy to multiple types of sensitive information and maintaining confidentiality of all company-related information is an ongoing requirement
  • Courteously greet visitors, determine their needs and direct them to the appropriate person
  • Provide general administrative support for management personnel
  • Schedule meetings, conference rooms and coordinate visitors, as necessary
  • Manage relationships with company vendors
  • Assist with office event planning such as office parties, hosted luncheons, etc.

 

Qualifications

  • Associate Degree, or higher, along with 2+ years of experience in a support role is required
  • Excellent interpersonal skills and professional demeanor
  • Strong verbal and written communication skills, and excellent editing and proofreading skills
  • Attention to accuracy and detail in all aspects of responsibilities
  • Proficient computer skills, particularly with Microsoft Office, Word, Excel, and PowerPoint
  • The ability to follow directions, sometimes from multiple sources, and determine priorities
  • Flexibility and a willingness to perform other reasonable duties as requested
